    Hi all,

    I received this question from a superintendent and said I'd pass it along: Do you have a solution to having class meetings or instruction in a secure manner. We are using zoom and I worry kids can change profile or share passwords and others enter without belonging.

    In Zoom you can set up a waiting room and then admit students. I will only admit students to my class if they use the correct name. I have set up the expectations for names, chat, participation and I hold students accountable. I teach 2nd grade, but coordinate tech for K-5 and assit with 6-12.

    I know  many have said that using the waiting room feature has been helpful to stop people from getting in that don't belong.  Setting guidelines for the students to follow ahead of time are critical so that the teacher can hold the students accountable using basic classroom management procedures.  I don't personally use Zoom because our district is solely using Google since we can restrict it to logins within our domain and limit our student's access.  Here is a nice page of settings for teachers from Yonkers and seems pretty thorough: https://www.yonkerspublicschools.org/Page/39095.

    There is a difference between free zoom accounts and a paid district subscription.  We have purchased Zoom for our district, have a legal privacy agreement in place, access to the management dashboard and can fully control what options our teachers have.  Settings such as password protection, using a waiting room process and ensuring that the teachers are trained to know who to allow into a zoom meeting and who not to can keep many of these concerns at bay.

    If a district is relying on Zoom for synchronous instruction, I would advise purchasing a district plan.

    You can also lock a Zoom meeting once everyone is inside so no one else can join.  Another possible alternative to Zoom is https://demo.bigbluebutton.org/gl/.

    All -

    Understand that this is a moving target and decisions you make now may be undone by changes in policies and features in whatever tool you are using. We are seeing this for both Google Meet and for Zoom.

    We are purchased 200 Licensed Zoom accounts and have created Zoom accounts for all of our teachers (340+) and Middle and High School students (1200+) and are managing these through our domain dashboard. We require that students authenticate to their Google account if they sign in. We also have assigned all accounts into the appropriate group and have locked features based upon whether they are adults or students.

    Yesterday, we forced waiting rooms at the domain level for all of our groups. As part of that change, we opted to allow those who authenticated (signed into) their account to bypass the waiting room, since they are already trusted. (Yes, I know that someone may have stolen their account credentials, but if you go down every rabbit hole, you will go crazy). This changed the workflow for some of our teachers which caused a major backlash within my school. This was on top of Zoom's prohibition of sharing files in chat, which our math and science teachers had been using to provide feedback to students while "in" class.

    We have created solution to allow teachers to mimic this - at this point in time, which I have created a link to here. I am sharing this with under a Creative Commons, Non-commercial, share-alike, with attribution so you can take this and modify for your own use.

    But during the creation and testing of this, we received several notifications about upcoming changes to Zoom's Basic (free) Business accounts which will undo some of these recommendations that Zoom announced that will be rolling out on Monday, including the requiring of passwords to enter a personal meeting room ID. This does not seem to apply to EDU accounts, to our testing, yet....

    Excellent advanced advice, Vinny. I learned something from it. And your rabbit hole comment is spot on. Everything, indeed, the moving target. I try to keep in mind my dear brother's advice gleaned from his years in AA: Do the next right thing. And I would add: NOW.

    If your school uses GSuite, Google Hangouts is secure, you are not limited to a 40 minute meeting, you can record, and you can control who joins outside of your domain. I am surprised at how many people who have GSuite are still choosing Zoom. We have been using Hangouts and Meet for staff meetings, student show and tell, live instruction, office hours, etc. and it's been wonderful - and super easy to use.

    Make sure if anyone is using Google Hangouts to start transitioning over to Google Meet.  Hangouts will be shutting down as of June 2020.  I would hate for anyone to be taken by surprise when this happens.

    It already essentially moves you over to Meet when you select video call from the Hangouts page. But good to point that out so we're all aware!
